Getting started

Welcome to PixOptiform

PixOptiform helps you turn website visitors into useful leads, feedback, and conversions without adding a complicated marketing platform to your WordPress site.

Create a popup, choose how it should appear, configure the content, and let PixOptiform handle the submission flow directly inside WordPress.

Your basic workflow is simple:

Install → Configure → Choose a popup → Set display rules → Publish → Manage submissions

What PixOptiform does

Your first popup

For the first setup, keep things simple.

Step 1 — Install PixOptiform

Install and activate the plugin from your WordPress dashboard.

Step 2 — Open PixOptiform settings

Go to:

WordPress Admin → PixOptiform → Settings

Step 3 — Choose a template

Select the popup type that matches your goal.

Step 4 — Configure the display behavior

Choose when the popup should appear and where it should be displayed.

Step 5 — Customize the content

Update the headline, supporting text, fields, button text, colors, and other available template options.

Step 6 — Save and test

Open your website in a normal visitor session and test the complete popup and submission flow.

Installation & setup

Requirements

For the current PixOptiform documentation, the recommended baseline is:

WordPress: 6.1 or newer
PHP: 7.4 or newer
JavaScript: Enabled in the visitor's browser

The plugin is designed to work with the standard WordPress environment and uses WordPress's native admin and email systems. The plugin's documented baseline includes WordPress 6.1+ and PHP 7.4+.

Install from WordPress
1. Open Plugins

From WordPress admin, go to:

Plugins → Add New Plugin

2. Upload PixOptiform

Upload the PixOptiform plugin ZIP file.

3. Install

Click Install Now and wait for WordPress to complete the installation.

4. Activate

Click Activate Plugin.

5. Open PixOptiform

After activation, open:

PixOptiform → Settings

The plugin also provides a submissions area where administrators can review captured entries.

Install manually

If you received PixOptiform as a ZIP package:

Extract the plugin package if required.
Upload the pixoptiform plugin folder to:
/wp-content/plugins/
Open WordPress → Plugins.
Find PixOptiform.
Click Activate.
Initial configuration

After activation, configure the plugin in this order.

1. Enable the popup

Make sure the popup functionality is enabled.

2. Select a trigger

Choose the visitor behavior that should initiate the popup.

3. Set the display timing

If the selected trigger supports a delay, configure an appropriate delay rather than showing the popup immediately.

4. Choose a template

Select the template that matches your campaign.

5. Configure the recipient email

Set the address that should receive new submission notifications.

6. Configure display rules

Decide whether the popup should be available across the site or limited to specific pages.

7. Configure email validation

Enable validation if you want PixOptiform to reject disposable, obviously invalid, or unwanted email patterns.

8. Save your settings

Save the configuration before testing the frontend.

Recommended first test

Do not immediately publish a complicated campaign.

Use this test:

Popup → Enter test email → Submit → Check success message → Check WordPress submissions → Check notification email

This confirms the complete workflow before you start customizing the campaign.

Popup Triggers

PixOptiform supports different ways of deciding when a popup should appear.

Page-load trigger

Display the popup after the visitor loads the page.

A configurable delay can be used to avoid showing the popup immediately.

Exit-intent trigger

Display the popup when the visitor's cursor indicates an attempt to leave the page.

This is particularly useful for:

The plugin's trigger configuration includes page-load and exit-intent behavior.

Display Rules

Not every popup needs to appear everywhere.

PixOptiform provides page-level display configuration so you can control where the popup is shown.

Submission Management

WordPress Admin Dashboard

Open:

WordPress Admin → PixOptiform

From the submissions screen, administrators can review captured entries.

Only users with the appropriate WordPress administrative capability can access the plugin's management functions.

CSV Export

Need to work with your leads outside WordPress?

PixOptiform can export stored submissions as a CSV file.

The export includes the available submission information such as:

PixOptiform → Submissions → Export as CSV

The CSV can then be opened in spreadsheet applications or imported into another workflow.

Email Notifications

PixOptiform can notify the configured administrator when a new submission is received.

The notification can include:

The plugin uses WordPress's native email delivery mechanism for these notifications.

Automated Visitor Emails

Certain templates can also send a response directly to the visitor.

Security & Submission Protection

Submitted values are sanitized before being stored or processed.

Administrative features are restricted through WordPress capability checks.

Local WordPress Storage

PixOptiform stores submissions in the WordPress database rather than requiring a separate external lead-management service.

This keeps the basic workflow close to your existing WordPress installation.

The submission table contains fields for contact information, message content, template information, visitor metadata, and timestamps.

Troubleshooting & FAQ

The popup is not appearing. What should I check?

Check these items first:

Confirm PixOptiform is activated.
Confirm the popup is enabled.
Check the selected trigger.
Check the configured delay.
Confirm the current page is included in the display rules.
Clear any caching layer and test again.
Test the page in a fresh browser session.

If the popup is configured for exit intent, move the cursor toward the browser's upper area to trigger the behavior.

The popup appears too quickly.

If you are using a page-load trigger, increase the configured delay.

A short delay can work for simple campaigns, while a longer delay gives visitors time to begin interacting with the page.

Avoid making the popup appear immediately unless there is a specific reason.

My popup is appearing on the wrong page.

Review the display configuration.

Make sure the page is either intentionally included or excluded according to your campaign configuration.

For page-specific campaigns, test the popup on both a targeted page and an unrelated page.

Why was an email address rejected?

PixOptiform may reject an address when it fails the configured validation rules.

Possible reasons include:

Invalid email format
Disposable email domain
Matching an unwanted email pattern
Domain not meeting the configured validation requirements

Review the Email Validation settings if legitimate visitors are being rejected.

Can I allow a specific email domain?

Yes.

PixOptiform provides a whitelist for domains that should be accepted by the email validation system.

This can be useful for controlled environments where you want to allow a particular organization or domain.

Can I block disposable email services?

Yes.

PixOptiform includes disposable-domain protection and allows administrators to customize the blacklist.

Where are submissions stored?

Submissions are stored in your WordPress database.

The plugin creates its own submission table using the WordPress database prefix:

{prefix}_pixoptiform_submissions

This means the data remains part of your WordPress installation rather than being automatically sent to a separate lead database.

Where can I see captured leads?

Go to:

WordPress Admin → PixOptiform

The submissions dashboard displays the stored entries and provides CSV export functionality.

How do I export submissions?

Open the PixOptiform submissions dashboard and select:

Export as CSV

The plugin generates a CSV containing the available submission records.

Why am I not receiving notification emails?

First check:

The configured administrator email.
The WordPress site's email delivery.
Whether the submission was successfully saved.
Whether the email was filtered as spam.
Whether another plugin or hosting configuration is affecting wp_mail().

PixOptiform uses WordPress's native mail system for administrator notifications.

Does PixOptiform require an external CRM?

No.

The core plugin can collect and manage submissions directly inside WordPress.

You can export the collected information as CSV when you need to move it into another workflow.

Does PixOptiform send visitor data to a third-party service?

The core submission workflow stores the data in your WordPress database. The documented plugin workflow does not require an external lead-management service for storing submissions.

Who can access submissions?

Plugin management functions are protected using WordPress capability checks.

The documented implementation restricts settings, submissions, and export functionality to users with the manage_options capability.

What happens if someone repeatedly submits the form?

PixOptiform applies a basic rate limit to the AJAX submission endpoint.

Repeated requests from the same source within the rate-limit window can be temporarily rejected.

Can I use different popup campaigns for different pages?

Yes, page targeting is intended for campaigns that should only appear in relevant parts of your website.

For example, you can create a feedback-focused experience for one area of your site and a promotional campaign for another.

Can I customize the popup text?

Yes.

Template settings expose the content fields appropriate to each popup type, allowing you to change headlines, supporting copy, labels, buttons, messages, colors, URLs, and other available template options.

Which popup should I use?

Use the campaign goal as your starting point:

Start with one campaign rather than activating multiple competing messages.

My form says "Security verification failed."

This usually means the security token used by the submission request is no longer valid.

Opening a fresh browser session.
Clearing cached versions of the page.
Checking whether a caching/security plugin is serving an outdated page.
Privacy & Data

PixOptiform can process and store visitor-submitted information as part of its lead-capture workflow.

Depending on the template and configuration, stored submission data may include:

Email address
Message/content
Template metadata
IP address
User agent
Submission timestamp

Some template-specific information, such as newsletter names or feedback ratings, may be processed as part of the form flow.

Site administrators should ensure their site's privacy policy accurately describes the information collected and how long it is retained.
